Your wedding day is intimate — and so are your data and your image. Below you’ll read clearly who is responsible, which personal data I process, what happens to the photos, which cookies the site sets and what rights you have under the General Data Protection Regulation (GDPR).
1. Data controller
The controller of your personal data is Radja Gios, trading as Hands 4 Events BV, established at 2980 Halle-Zoersel, Belgium. Company / VAT number: BE 0472.661.204.
Questions about privacy or your data? Email info@radja.be. I handle requests as quickly as possible and within one month at the latest.
2. What data & why
When you fill in the contact or quote form, I process the data you provide yourself: your name, e-mail address, optionally your phone number, your wedding date and location and the message you leave. These are sent to me by e-mail via the hosting partner’s form service.
Purposes and legal bases:
- Answering your question and drawing up a no-obligation quote — based on your request and pre-contractual steps (Art. 6.1.b GDPR).
- Carrying out a booking, contract and planning when we work together — performance of the contract (Art. 6.1.b GDPR).
- Invoicing and accounting — legal obligation (Art. 6.1.c GDPR).
- Use of photos for portfolio, social media and marketing — solely on the basis of your consent (Art. 6.1.a GDPR). See section 3.
You are not obliged to provide data, but without the necessary data I cannot answer your question or deliver a reportage.
3. Image & portrait rights
As a photographer I process images of the couple and the guests. This deserves a clear explanation, as it touches copyright as well as your portrait rights and the protection of your personal data.
Copyright: all photos remain the copyright property of Radja Gios. As a client you receive a broad usage licence for personal, non-commercial use (printing, sharing with family and friends, posting on your own social media).
Processing & storage: the photos of your day are made in performance of the photography agreement. They are stored on secure online galleries and in a back-up archive with EU-based providers. The personal gallery usually stays online for at least 12 months; the source archive is kept longer for re-orders and as a professional archive.
Use for portfolio, social media & marketing: I only use images of your wedding for my portfolio (website), social media or promotion when you give explicit consent. That consent is separate from the photography agreement itself: you can fully book the reportage and still refuse to have the images appear online, at no extra cost or disadvantage.
Guests’ portrait rights: your guests also have portrait rights. As a couple you can indicate that certain people may not be shown; guests can object themselves via info@radja.be.
Objecting or withdrawing consent: you can withdraw your consent at any time and object to publication via info@radja.be. After your notice I remove the images concerned as soon as reasonably possible from my website and the channels I manage. Note the limit of what is technically feasible: already printed material, or images shared or copied by third parties, are beyond my control. Withdrawing consent does not affect publications that were lawful before the withdrawal.
4. Retention periods
- Contact messages without follow-up: up to 12 months, then deleted.
- Client and contract data: during the collaboration and afterwards for the legal periods (accounting/tax), up to 10 years.
- Photo gallery: online for at least 12 months; source archive kept longer as a professional archive and for re-orders.
- Cookie preference: up to 12 months, after which you are asked to choose again.
5. Recipients & processors
I never sell your data and do not share it with third parties for their own purposes. To run my service I rely on carefully chosen processors, with whom the necessary processing agreements are in place:
- Website hosting and form service (processes and e-mails form submissions).
- Online gallery and storage provider for the photos (EU).
- E-mail and accounting software for communication and invoicing.
Where possible, data stays within the EU/EEA. When a service (e.g. embedded YouTube or Instagram content) may process data outside the EEA, this only happens after your consent and on the basis of that party’s appropriate safeguards (such as the EU standard contractual clauses).
6. Cookies & embedded content
By default this website only sets necessary cookies/storage. Cookies for statistics and for embedded third-party content are set only after you give consent via the cookie banner. You can change your choice anytime via the “Manage cookie settings” link at the bottom of every page.
Important: as long as you do not give consent, embedded YouTube videos and Instagram posts are shown as a placeholder instead of the real embed. Only after your consent is the embed loaded — and only then do YouTube (Google) and Instagram (Meta) set their cookies. At present the site shows links to social media rather than embedded content, so the analytics and marketing cookies below are only set once such content is actually loaded after your consent.

7. Your rights (GDPR)
Under the GDPR you have the following rights regarding your personal data:
- Right of access — obtain a copy of the data I process about you.
- Right to rectification — have inaccurate or incomplete data corrected.
- Right to erasure (“right to be forgotten”) — have your data deleted where permitted.
- Right to restriction of processing — temporarily pause the processing.
- Right to object — object to processing based on legitimate interest, and to the use of your image.
- Right to data portability — receive your data in a common format or have it transferred.
- Right to withdraw consent — where processing (such as using photos) is based on consent, you can withdraw it at any time for the future.
- Right not to be subject to solely automated decision-making — which I do not apply.
You exercise these rights by e-mailing info@radja.be. To prevent abuse I may ask you to confirm your identity. Exercising your rights is free, unless a request is manifestly unfounded or excessive.
